Hello, and welcome to the first 2007 edition of the Word Constructions newsletter.

Happy New Year - I hope you have had a lovely break and are ready for a successful 2007.

I must start with apologising for the lack of a January edition of this newsletter. The 7.2 earthquake in Asia managed knock out six cables so I lost emails and my website for a few days.

I believe this is going to be a great year with many opportunities, and I wish you well in recognising the opportunities that are right for you to grab with both hands. I would love to hear from you as you come across any of those opportunities, too.

If you had a holiday over December/January, did you take some time to read books? Reading can be an effective way of improving your vocabulary and your writing skills without any conscious effort! I can certainly see the improvement in my daughter's spelling and writing since she was able to read competently - and with a passion to match her mother!

Style Guides

A style guide is simply a set of rules as to how your business produces it's communication materials (including website content, letters, emails, marketing documents and promotional articles.)

By having a style guide, you can ensure everything you present to customers and potential customers is consistent and supports your brand. For instance, if someone reads a formal letter from you then visits your casual website, they will notice the difference and probably feel uncomfortable with it.

Style guides can be in bullet point on one page or they can be comprehensive manuals - it depends on the needs and size of the business. If you want a style guide, you can always start with the key points and slowly build it up as you gather further information to include.

Next month, I will cover some of the items commonly included in a style guide.

copyright or copywrite?

I have seen copyright mis-spelt on many occasions, including by people who should know better.

Copyright is simply a group of laws and rules governing who has the right to copy someone else's work. The work protected by copyright includes music, art and graphic design, not just written materials.

Reducing Jargon

In itself, jargon is not a bad thing as it can make communicating with others in the field quicker and easier; compare saying ‘10 bytes’ to ‘ten strings of eight ones or zeros used to describe data’.

However, when used outside of the relevant field, jargon can be confusing and hinders understanding. It can even be used to make the outside person feel inferior because they don’t understand the jargon.

In clear communications, jargon must be avoided if the audience may not know it.

Poor examples

Sometimes, the easiest way to learn the correct way to do something is to see it done poorly so in this section of my newsletter, I show you some examples of writing that need a little help.

This is one from a marketing document:

"Travel brochures
Free brochures to most popular destinations"
{issue - why would the destinations want brochures sent to them?}

A better version would be:

"Free travel brochures" or "Free brochures about popular destinations"
